Because in medical events, there is no room for improvisation.

🧭 Why Does a Good Briefing Make the Difference?

f you organize medical or pharmaceutical congresses, you already know there is zero tolerance for mistakes. High-level professionals, tight schedules, health protocols, multiple languages… Everything must run flawlessly.

And the staff plays a key role in making that happen.

A well-prepared briefing ensures that every team member knows exactly what to do, how to do it, and when to do it. It is not just another document: it is a critical tool to ensure your event runs like clockwork.

🧾 What Exactly Is a Staff Briefing?

A staff briefing is a document (or structured message) that summarizes all key information the team must know before the event.

For a medical congress, it makes the difference between a confused team and one that works with confidence, efficiency, and professionalism. A good briefing saves you from unnecessary calls, last-minute doubts, and misunderstandings during the event.

✅ What Should a Perfect Staff Briefing for a Medical Congress Include?

Here’s a checklist with the essential elements:

🕐 1. Schedules and Meeting Points

  • Start time of each shift.

  • Break times.

  • Exact meeting points.

📍 Example: “Sofía and Marta must be at the south entrance of the Convention Center by 07:30 AM. In uniform and with accreditation.”

👔 2. Image and Dress Code

  • Type of uniform (color, accessories, closed-toe shoes, etc.).

  • Natural makeup and tied hair, if applicable.

  • Image recommendations based on the event’s tone.

💡 In medical congresses, a sober and polished appearance conveys trust and professionalism.

🧠 3. Event and Client Information

  • Name and theme of the congress.

  • Main client (lab, association, hospital, etc.).

  • Type of attendees: doctors, pharmacists, international speakers, etc.

  • Main event language.

📌 Example: “This congress focuses on cardiology advancements. Doctors from several countries will attend. The main language is English.”

🎯 4. Specific Tasks and Responsibilities

Every team member must know their role:

  • Accreditation desk

  • Room and lecture support

  • Access control

  • Cloakroom assistance

  • Documentation delivery

  • Coffee break support

  • Assistance to VIP speakers or guests

Clear task assignments make the team work more efficiently.

🌍 5. Required Languages

If bilingual staff is needed or if international speakers are attending, it must be specified clearly.

💬 Example: “Sara and David will assist at the international speakers’ desk. Fluent English is required.”

🔒 6. Specific Protocols

Medical and pharmaceutical events often have specific regulations that must be included:

  • Restricted access to certain areas

  • Health and biosafety regulations

  • Conduct guidelines for clinical sessions

  • Data confidentiality rules

🎓 Well-informed staff avoids sensitive mistakes and misunderstandings with attendees.

📲 7. Key Contacts and References

Always include:

  • Staff coordinator

  • Client contact person

  • Room or venue manager

  • Emergency or unforeseen situations contact number

This gives peace of mind to the team and prevents the organizer from being overwhelmed with questions during the event.

🩺 How Is a Medical Congress Briefing Different?

Organizing a medical congress is not like any other event. It combines high demands, technical content, specific protocols, and a professional audience.

👉 That’s why the briefing must be clear, detailed, and customized.
👉 A generic message is not enough: staff must understand the medical context and act accordingly.

Key elements to highlight:

  • Punctuality and order are critical.
  • Service must be discreet and efficient.
  • Interactions with international speakers are common.

10 reasons why a hostess or host service in a wedding helps it to be a total success

Hostesses and hosts at weddings is a service that is increasingly being demanded. And no wonder, weddings are events full of details. If you are part of the event, it is nearly impossible to handle all of them.  So delegate in others seems to be the best option.
Nowadays, the services of a wedding planner or an expert are more common. We see how people want to personalize their weddings, make a difference and turn it into an event that touches and surprises everyone. They want their guests to keep an unforgettable memory.
The services of a hostess or a host may be extremely helpful in the smooth operation of an event. Therefore, we find these services more often in important events. There are so many details to look after!
For those who are not sure on what a hostess or host can do to help in a wedding, here are some of the 10 most common duties.
  • Check the buses for the reception. Pick up guests in hotels, make sure there is no one missing and accompany them to the wedding or reception.
  • Parking attendance services: help and management of the parking.
  • Cloakroom services.
  • Help guests know where they sit and assist handicapped and/or elderly ones.
  • General information: bathrooms, transport or help out anywhere else.
  • Direct guests to the different events and at the scheduled time: go to the dining room, go to the dance floor, go out to see fireworks … Efficient use of time is kind of a big deal on a wedding day.
  • Delivery of gifts or souvenirs at the exit.
  • Managing the bus services, taxis or Cabifys in departure.
  • Reception from other providers: redirect the band or DJ, tell them where to prepare,  make sure they have what they need, Etc.
  • Assist with decoration such as table arrangements in the event.
Undoubtedly, a good hostess service is a guarantee of reliability and support. A must in weddings and large celebrations.
And you, have you been to a wedding where there were hostesses or hosts?  What duties did they do? Can you think of what else they can help?

Is a Trade Fair Hostess really useful?

azafata de feria
There are many people who, when attending a trade fair, have doubts over whether to hire a trade fair hostess service. We are not sure whether it is really necessary. Often we see it as just an image. It seems an unnecessary expense. But in truth a hostess can offer a lot at a fair.
First of all there is your company’s image. An impeccable image, with an educated and smiling person, makes the client empathise and want to spend time on our stand; it grabs their attention. First objective accomplished.
Our strategy can differ depending on whether we are focused on clients or the general public. In a more business-type relationship, the hostess acts as a receptionist. She is responsible for filtering visits and directing them to the right people. The client looks for a professional service and appreciates being treated correctly, even though we are at a fair. The hostess makes sure they are well looked after, accompanying them, offering them something to drink or providing them information while they wait for a sales rep.
When the fair opens to the public, everything changes. We want the hostess to capture the attention of as many people as possible and to manage uncomfortable or confrontational situations, if necessary. Normally at fairs, for example at IFEMA, there is such an influx of people that if we don’t know how to manage this well, we can end up offering the opposite image to what we intended. A hostess knows how to capture that attention. She looks for contact with the public, greeting them, approaching them, informing, handing out gifts… a service that gives sales reps time to focus on their main goal: generating business.
Bilingual trade fair hostesses are very necessary at international fairsIFEMA hosts each year around 80 events that occupy a very important position in international trade fair calendars. If we want to offer our services or products abroad, all staff must be bilingual in English or the language in question. A lot of business opportunities may be lost by not being able to provide a service in another language.
As for the stand, it is our showcase and represents us. That is why it must be given the importance it deserves. A trade fair hostess offers a lot in this respect. At the start of the day she will place all the material; during the day she will make sure that everything is in order, replacing anything that has run out; she will also look after the stand when staff go to lunch and make sure it is not left unattended. At the end of the day she will clear everything away so that the cleaning service can work properly and everything is in place for the following day.
In short, a trade fair hostess collaborates in trade fair objectives. A valued asset that breeds confidence and conveys professionalism.
